The type of personal information we collect

We currently collect and process the following information:

  • Personal identifiers, such as name, telephone number, address, and email address
  • Characteristics such as gender, marital status, and spouse/partner

Generally, we do not collect any sensitive data known as Special Categories of Personal Data about you (this includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health and genetic and biometric data). Nor do we collect any information about criminal convictions and offences. However, on occasions, for example through a direct interaction with you, we may receive Special Categories of Personal Data such as:

  • Religious or philosophical beliefs
  • Information relating to health

Processing these types of Personal Data is permitted under data protection law where you have given explicit consent and, or, where it is carried out by us as a religious entity in the course of our legitimate activity.

 

How we get personal information and how we use it

Most of the personal information we process is provided to us directly by you for one of the following reasons:

  • To enable us to notify you with information regarding our activities
  • To provide appropriate pastoral care
  • To monitor and assess the quality of our services
  • To fulfil our purposes as a church

We also receive personal information indirectly, from the following source in the following scenario:

  • Next of kin details can be given to us by people who share their details with us, this is so that their next of kin can be notified in an emergency.

Who we share this information with

We will not share your information with third parties without your consent unless the law requires us to do so.

The legal bases that we use to process your personal data

Under the UK General Data Protection Regulation (UK GDPR), the lawful bases we rely on for processing your information are:

  • Consent – where you have given it
  • Legal obligation (e.g. processing Gift Aid)
  • Contract (e.g. letting out the church hall)
  • Legitimate interest (routine church management involving rotas, lists of group members etc)

How we store your personal information

Your information is securely stored.

The main church records are kept on a password protected database for varying lengths of time, dependant on your consent. (Continued consent is requested annually, with the option for you to have your records updated or deleted from the database). We will dispose of your information by removing it from the database if you request for us to do so.

If you attend a midweek group within the church, a copy of your details may be kept as part of a register by the group leader. These records will be periodically reviewed, and your details will be removed from the records once you no longer attend the group.                                                           

 

Your data protection rights

Under data protection law, you have rights including:

Your right of access – You have the right to ask us for copies of your personal information.

Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances.

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.

You are not required to pay any charge for exercising your rights. If you make a request, we have within a month of receiving a valid request to respond to you.
